The Simple 30min Weekly Financial Routine That Keeps You Profitable

Most practice owners don’t look at their finances until something goes wrong—and by then, it’s a fire drill. That’s backwards.
The smarter move? Build a simple routine to review your numbers each week. You don’t need a degree in accounting to stay profitable. You just need a 30-minute weekly routine.
Here’s what to do every week:
Step 1: Review Revenue (10 minutes)
Open your EHR or billing software.
Write down how much money came in this week.
Verify that number matches with your bank account deposits. (It may not be exact but it should be very close.)
Track revenue by provider if you have a group practice.
Step 2: Check Expenses (10 minutes)
Open QuickBooks.
Look for any unusual charges or cost increases.
Categorize every expense.
Flag anything that doesn’t make sense.
Step 3: Check Your Bank Balance (5 minutes)
Make sure there’s enough to cover upcoming payroll, rent, and taxes.
If not, pause all non-essential spending. You should be doing this anyways!
Step 4: Review Your Month-to-Date P&L (5 minutes)
Open your Profit & Loss report in QuickBooks.
Look at the month-to-date revenue and expenses.
Ask: Are we on track to hit our revenue and profit goals for the month?
If not, identify what needs attention now—not later.
